Job Summary:

Talent Shared Services (TSS) is a core service line within the Global Delivery Services organization, providing multiple HR support services including Recruitment support, Onboarding support, People Data Administration, Learning Administration, Cross Border Travel, Global Mobility and Performance Management support to EY member firms. TSS provides services to country, sub-area, area and global people teams and other EY stakeholders involved in HR, L&D and recruiting transactions and associated administration, reporting and people infrastructure. These services are delivered from our centres in Dalian, China; Kerala and Bangalore, India; Wroclaw, Poland; and Manila, Philippines. TSS team delivers consistent, high-quality and operationally efficient HR transactional services to EY through a globally efficient and effective network of GDS centres.

Learning VTH supports a specific Region and acts as part of the extended Region Learning team. VTH works in a fully integrated way with onshore Learning colleagues, participating in meetings, projects and planning activities as part of one team and is aligned with the Learning Global Process Model and initiates learning processes via existing workflow (SNOW intake forms) for execution by TSS managed services (CAT and DAT).

This role is responsible for the End-to-end Course administration through SuccessFactors (e.g. courses available for registration months in advance, following roster against defined target group, remediation plans for non-compliances) for the Assurance team.

Applications Used: SuccessFactors (Learning Management System), Service-Now (extracting reports, registering content), Excel, PowerPoint, Outlook

Shift: Rotational / Night Shifts

Essential Functions of the Job:

Country Learning Responsibilities

Independently
  • End-to-end Course administration through SuccessFactors (e.g. courses available for registration months in advance, following roster against defined target group, remediation plans for non-compliances)
  • Systematically document all activities to shared drives
  • Inform the facilitators and learners the learning plans, dates, times, pre-work, engagement codes, travel guidance - all well in advance, 3-6 months min.
  • Set up Virtual trainings, support facilitators with requests during the training, gather training data and attendance
  • For Physical training; venue planning and booking with our Travel agency, acquire required approvals in-house, manage classroom technology and equipment based on guidance
  • Answer queries from shared mailbox
  • Together with the Onshore colleagues
  • Main point of contact to the country learner population
  • Communicate mandatory training, assignment management, reminders and follow-up
  • Being the Expert in the learning path an employee takes in Assurance, understand what content is global and what is local
  • Communicate the reporting deadlines, instruct how learners can pull reports
  • Help plan and publish next fiscal year learning calendar 7-8 months in advance
  • Have a good ongoing dialogue with Local Learning Leader and local PPD to know what is coming, update regularly on what needs to be known, and consult on high level topics
  • Assist in CE policy compliance monitoring
  • Be flexible as a team for any ad hoc trainings, producing, queries etc.
  • Source facilitators together with onshore team

Regional Responsibilities:
  • Attend monthly learning calls with your assurance learning colleagues in the Nordics and bi-weekly with the broader learning team. In these calls we ask to contribute actively, follow given deadlines and guidance
  • Quarterly compliance reporting - following up that 100% of the target population has consumed the required training timely
  • Monitor budget spend and learning hour targets through the Fiscal Year
  • Following global processes and policies

Other Requirements:
  • Flexibility in working hours to accommodate the Nordic time zone

Knowledge and Skills Requirements:
  • Dependable independent delivery of consistent high quality with attention to detail, even under pressure
  • Effective use of Outlook, MS Teams and Excel (min. vlookup, formatting, pivot tables, ability to compare lists, cleaning data)
  • Great project and time management skills, ability to run multiple processes at the same time
  • Situational awareness with strong communications skills, both written and spoken in English - at all levels/ranks
  • Flexibility with working hours (Nordic timezones) - considerable (but predictable) variation during the Fiscal Year
  • Curious and active can-do -attitude, ability and willingness to learn quickly
  • Capable of long-term planning, considering and preparing for multiple scenarios
  • Service-orientated and good problem-solving skills

Job Requirements:
Education:

  • Bachelor's degree in business or HR related discipline.

Experience:
  • Experience of working in fast-paced environments with many stakeholders and ongoing projects
  • Experience of working in Learning and development is desired
  • Experience of working in international and diverse environments is desired
