The Opportunity

The overall purpose of the Sr. Portfolio Analyst role is to provide Project/ Portfolio management guidance and oversight to the Enterprise Technology portfolio engagements to ensure common portfolio processes, tools & templates are aligned in the areas of Demand & Project intake, Change control, Project setup, PPM Methodologies, Financial governance, Project management delivery, Data quality assurance, Compliance, Dashboard & KPI reporting.

Your key responsibilities

The portfolio analyst could take ownership and drive the above disciplines with limited direction required and has deep knowledge and skills within the Project & portfolio lifecycles. Key responsibilities areas include, but not limited to:
  • Monitor the adherence to the standard project intake process that includes clear scope definition, costing, sponsorship approvals and standard project setup.
  • Ensure Project & program financial and non-financial business benefits are captured tracked and realized.
  • Standardize the PPM project setup process including alignment to a funding source, formal PPM setup, engagement code request, PM alignment and launch.
  • Establish Business Case and Project cost estimate templates, tools, and repository to standardize the business case development process.
  • Participate in the monthly Project "Checkbook Funding" process whereby sponsors present their business cases for Steer Co approval.
  • Monitor and report on the project approval metrics at portfolio level & investment level.
  • Track budget availability levels using project actuals and forecasted spend.
  • Contributions to the investment prioritization process for the fiscal year planning
  • Establish standard portfolio, program, and project processes, tools, and templates to create comprehensive delivery and compliance frameworks that ensure consistent leadership reporting spanning all of ET.
  • Measure and improve performance using KPIs and other compliance metrics. Advocate & socialize the confidence score, which rewards consistent and robust updates within the ePPM tool.
  • Provide PM onboarding support on ET PPM Standards, Processes, and tools.
  • Contribute to the monthly PM Forum and Delivery Champion Network. Encourage mutualistic relationship between Portfolio Mgmt. and ET delivery teams.
  • Drive consistent data quality within the Portfolio, Program and Project domain that enables effective data analysis.
  • Develop PM behavioral change towards reporting thus improves compliances towards Project status, Forecast, schedule, Risk & Issues, etc. that intern improves Project Confidence.
  • Enhance leadership visibility on portfolio progress through improvised reporting
  • Establish processes for consistent use of portfolio and project related data in PPM and measure
  • Create data quality metrics and dashboards for the delivery and project managers to self-monitor.
  • Coordinate Power BI Dashboard reporting changes with the ET Analytics team.
  • Where appropriate, coordinate and perform mass updates within PPM or other portfolio related tools on behalf of the portfolios.
  • Lead and train the portfolios to be self-sufficient about their project data.
  • Recognize and acknowledge those who maintain complete project data sets as defined by our cohesion processes.
  • As a trusted advisor, closely work with the Portfolios (PMs, DMs & BMs) to drive consistency across portfolio and project management practices
  • Communicate and coach on any changes to process, tool, and enablers
  • Participate on the internal delivery reviews as well as PM cadence to get insight on the progress and advise
  • Perform periodic performance reviews and share early warning indicators
  • Become intimately knowledgeable with the project initiations, budgets, in-flight status, and proper closure


Skills and attributes for success

To qualify for the role, you must have
  • 8 to 10 years of experience in PMO or program/project/Portfolio management practices within geographically dispersed teams
  • End to end understanding of IT life cycle, IT methodologies, processes, and organizational procedure
  • Strong knowledge on end-to-end financial management - plan, forecast, actual at function, portfolio, and program/project levels
  • Experience with Project & Portfolio management tools (PPM, Project professional, etc.)
  • Experience with productivity tools (MS Office, Teams, PowerBI or other data visualization tools)
  • Ability to work independently and collaboratively at all levels in a global virtual cross-cultural environment
  • Ability to quickly gain in-depth knowledge of the organizational structure of the firm and relevant IT processes
  • Work experience in a professional services industry, preferred
  • Flexibility to adjust to multiple demands, shifting priorities, ambiguity, and rapid change
  • Relationship building skills
  • Strong reasoning and analytical skills
  • Ability to deal efficiently with escalations and difficult situations/people under pressure
  • Fosters collaborative ways of working with wider teams whilst challenging status quo.


Certification Requirements:
  • A relevant portfolio/program/project management qualification preferred (e.g. PfMP, Prince Practitioner, PMP) would be preferred
  • Familiarity with ITIL v2 or 3 would be advantageous
