Your new role

The position is available within Luxembourg Reporting Team.

As a Client Service Operations Expert, Senior Associate you will perform and review Client Service related tasks on a highest level and in accordance with agreed quality standards. You supervise team in order to ensure that all deliverables are produced and dispatched on time and in accordance with client service level agreements and agreed quality standards.

This role can be performed in a hybrid model, where you can balance work from home and office to match your needs and role requirements.

As a Client Service Operations Expert you will perform the task in the following areas:

Management of service delivery:

  • Take leading role with Team Supervisor in liaising with other sites on all aspects of service.
  • Take responsibility for the quality and timeliness of service to assigned clients.
  • Perform and monitor quality and internal controls for all team deliverables.
  • Continually evaluate current processes to strive for increased efficiency.
  • Plan and manage the daily processes and the effective utilization of resources.
  • Identify issues and problems in service delivery and carry out necessary corrective actions, keeping the team and the Officer informed. Record issues in the issue log and track progress.
  • Review corporate documentation on processes, procedures and controls, and evaluate the continuing effectiveness of these and related systems, initiating remedial action as necessary. Ensure documentation exists for any client-specific procedures.
  • Participate in the development, testing and implementation of the new systems and products.
  • Assist with planning and management of all relevant project work.

Client relationship management:

  • Maintain close contact with the Manager, briefing him/her on all issues and problems, both actual and potential.
  • Develop and maintain good relationships with relevant colleagues in service-support departments and contacts in the Donor Sites.
  • Act as a focal point for contacts and meetings with other departments and external contacts.
  • Participate in Service Reviews and ad hoc client/donor site meetings.
  • Act as a source of technical expertise on State Street systems.
  • Ensure appropriate training is provided for the team.

Communication:

  • Establish and maintain good working relationships with the donor site and colleagues, communicating effectively with Client, Senior Management, PMO, project members, business units through formalized reporting and ad hoc liaison.
  • Ensure that the Manager and others, as appropriate, are kept aware of all issues/problems/queries/work in progress that may impact upon the quality of service being given.
  • Share your technical expertise and knowledge with the team during team meetings, 1:1 sessions with colleagues and during on the job training.
  • Provide coaching, guidance and support to staff on technical, professional and client issues.

What we value

Desired experience and qualifications:

  • Minimum 2 years of Fund Accounting/Administration/Custody related experience is preferred
  • Master’s Degree in Finance, Accountancy or Business-related degree would be advantageous.
  • Experience in working directly with client is preferred.

  • Very good working knowledge of Excel.
  • Strong analytical skills.
  • Ability to perform effectively within strict client deadlines.
  • Advanced command of English and well-developed communication skills.
  • Ability to work under pressure and to tight deadlines.
  • Attention to detail crucial.
  • Ability to work on one’s own initiative.
