Role/ Department:

The Transfer Agency department provides a third-party fund administration service to numerous fund management companies covering the full range of shareholder servicing functions including dealing, registration, settlements, distributions, commissions, and statements. This position is based out of London and will support the Operations teams to undertake oversight and governance in relation to ensuring the UK Transfer Agency’s compliance with a variety of local regulations across UK and Europe.

The key responsibilities of the role include:

This is a newly created role to assist the Operations Manager and will be a varied role working within the Operations team responsible for Incident Management, Issue Management, being involved in the Governance and Oversight of the offshore location. Dealing with Audit & Compliance reviews, due diligence reviews, reviewing client SLA’s, producing KPIs, preparing & presenting decks, chairing and minuting Governance meetings.

  • Management of all Incidents, preventative actions and root cause analysis.
  • Provide an independent review of Complaint trends and process enhancements improvements
  • Production of stats/KPI's as appropriate.
  • Perform deep dives and root cause analysis for issues, Incidents and Complaints.
  • Become a Data Privacy SME.
  • Maintain relations with third parties - including Clients and external auditors.
  • Maintain a close working relationship with other areas in Transfer Agency, including Settlements, AML, Fund Service Centre, Dealing, Box Management teams and other internal areas such as the Relationship Managers.
  • Review procedures, Terms of Reference and be able make recommendations for any necessary changes.
  • Become the SME for the Incident/breach reporting tool and be able to assist the teams and produce training decks and implement the training.
  • Oversight tasks performed by the India teams when/where applicable
  • Assisting in deep dive reviews/analysis as required with the objective of making improvements
  • Support and successfully implement any remediation or process improvements that are required across Transfer Agency
  • Be able to conduct a lessons learned review, identify improvements and work with the Ops teams to implement
  • Fulfill additional, relevant, tasks appropriate to the role and business requirements.

Skills/ Qualifications:

  • Good understanding of Transfer Agency processes i.e. Reconciliations, Settlements, Distributions, Registrations, Dealing & Box
  • Previous track record in process improvement with a view to developing/enhancing controls
  • Ability to review and resolve complex issues working under pressure meeting challenging deadlines
  • Demonstrate a detailed working knowledge of Cash Management, Reconciliations processes
  • An understanding of the CASS rules specially CASS 6, 7, 9 & 10
  • An understanding of the COBS & COLL rules would be desirable
  • Very strong verbal/written communication skills along with being very detailed orientated.
  • Ability to review and resolve complex issues working under pressure meeting challenging deadlines
  • Assertiveness: you will be expected to challenge Operations & Business teams globally to obtain required data and/or information
  • Presenting to senior management and stakeholders
  • Excellent planning and organisation skills with a flexible approach to work
  • Ability to work on own initiative and to set deadlines
  • Effective verbal reasoning and numeric skills
  • Good keyboard skills to include Excel, Word, PowerPoint & SharePoint with the ability to learn systems used within the business
  • Knowledge of collective investment scheme administration and the regulatory environment is highly desirable
  • Analytical skills are required to research and resolve enquiries
