Main Duties and Responsibilities

Working with client facing teams to ensure that onboarding compliance for new and existing clients is undertaken as efficiently as possible:

  • Understand the firm’s on-boarding system in particular the Know Your Client (‘KYC’) requirements and New Risk Client Assessment process.
  • Assist in the collation of the requirement documentation from either the client service team or where appropriately delegated in order to fulfil KYC requirements.
  • Draft required KYC forms and New Risk Client Assessment forms on system.
  • Proactively chase approvals as required.
  • Assist in setting up required client codes within Star PDM (Billing System).
  • Raise with Partner/Manager any issues regarding onboarding process.
  • Draft engagement letters based on criteria provided by client facing team.
  • Assist, when requested with WIP analysis on client accounts within billing system.
  • Proactively assist in the managing of WIP balances within the team and chase where appropriate if fees should be raised.
  • Review “suspense” code for department and ensure that balance is reduced to zero as new client codes are created.
  • Raise and issue bills for clients based on criteria agreed with client facing team.
  • Support the team in respect of ad-hoc administrative tasks that may arise.

Performance Objectives/Targets

  • Performance objectives and targets will be set for the main duties above at least annually by the Department Director. These will reviewed against performance targets regularly.
  • Objectives and targets will also be set and performance reviewed in respect of the personal qualities listed in the person specification.

  • Effective communication and interpersonal skills.
  • Ability to understand the needs of the client and act accordingly.
  • Effective time and project management skills, being able to manage multiple assignments within the required timeframes.
  • Ability to use own initiative and think independently in order to resolve issues
  • Ability to work effectively within a team environment.
  • Excellent IT capability – understanding of the application of IT systems to improve work practices.
  • Is pro-active and enthusiastic, looking for business opportunities and methods of improving service delivery.
