Commercial Accountant
Position Overview
We are currently recruiting for a Commercial Accountant to assist the Finance and Commercial Manager, and support staff, based on site at the University of Sussex for Sussex Estates and Facilities LLP (SEF).
Ensuring SEF contractual commitments are met and to manage the efficient performance and output of the commercial function.
Assisting in the maximising of revenue and profit margin, identifying chargeable work orders, and carrying out valuations, agreeing billable work order costs with the Client, dealing with work order queries to the best advantage of SEF and assisting with the SLA mitigation including negotiating with the client where appropriate. Valuation and submission of variations to Contract ensuring Company and Contract processes and procedures are adhered too, and general duties expected of a Commercial Assistant on a large FM Contract.
Responsibilities
• Ensure process is followed to ensure Purchase and Sub-Contract Orders are processed efficiently.
• Support Finance Assistant and Buyers in resolving supplier invoice issues effectively.
• Report on outstanding AP issues.
• Prepare consolidated approved overtime report and reconcile to actual paid.
• Assist budget holders with relevant and accurate payroll, agency, and sub-contract information to effectively manage budgets.
• Assist Commercial and Finance Manager with various financial performance reports including budgets, forecasting and business planning.
• Assist Commercial and Finance Manager with internal and external Audits.
• Manage work reporting to ensure correct revenue recognition and timely customer billing.
• Manage and support supplier set up process.
• Manage Finance Assistant.
• Ensure payment is received in line with the contract agreement and that any queries which are withholding payment are promptly responded to.
• Assist the Finance and Commercial Manager in the preparation of periodic internal and customer reporting.
• Proposals - Assist in the valuation and submission of contract variations, maximising both revenue and profit margin.
• Work with contract management to develop systems to monitor contract performance.
• Work with contract management to ensure contract amendments are applied in a timely and accurate manner in agreement with the customer, keep records of contractual change controls.
• Ensure contract payment terms are followed within the conditions of the contract.
• Other tasks that are included in the Commercial and Finance RACI.
• Prioritisation is essential as are good organisation and communication skills.
• It is essential for the job holder to know when it is appropriate to seek advice or authority.
• The job holder must be able to communicate at all levels and present a professional image at all times.
• Be aware of the business continuity plan for the part of the business you work in.
