The primary role will be to ensure the Middle Office production processing of multiple clients static data including the Oversight of Security Reference data and the co-ordination of Transition events such as New Accounts, Account restructures, Terminations, Account maintenance and other changes are maintained and performed in an accurate and timely manner. Further to this the role will require the person to work and manage multiple other Portfolio Services functions like Portfolio Control, Client Reporting & Services, Fee Billing and Projects as may be assigned from time to time.

The position requires regular independent interaction with internal teams, client contacts, custodians and other interested parties.  The data elements gathered need to be maintained in an accurate and timely manner to help support the clients trading activities in addition to supporting numerous departments within the organization.  The position will also be the primary point of contact internally and externally regarding the data elements, hence excellent interpersonal, communication and organizational skills is a must for the role.

Operations responsibilities:

Specific duties:

  • Complete the day to day responsibilities of the team within a strong risk and control environment that minimizes incidents and errors
  • Completion of the review and verification of the staff's work on a daily basis, enforcing stringent procedures and controls
  • Perform an oversight role for the Shared Services functions identifying operational trends, issues and areas for improvement
  • Own the research and resolution of issues involving all operational and various IT areas (e.g. Asset Servicing, Trade Operations, Account Transitions, COACS)
  • Conduct high-level analysis in specific areas of expertise, identify and resolve work-processing issues, make suggestions to streamline operations
  • Approve documented workflow, procedures and controls, determining impact of activity to other areas
  • Make proactive recommendations and solutions for problem resolution
  • Interface with other internal departments on complex matters and inquiries
  • Liaise with colleagues within the Australia, USA, UK and India State Street offices and divisions globally where required for query resolution
  • Assist in the set up and transition process of new client accounts
  • Ad-hoc reporting, including daily, weekly and monthly metrics.
  • Develop and build up a strong relationship with internal and external clients
  • Assume managerial oversight of all operations conducted by the assigned team(s) in India
  • Ensure sufficiently trained staff is available to service the client/s and deliver quality service

This includes: a) ensuring that appropriate management information is received, considered and challenged as appropriate at  intervals proportionate to the risks; and b) that staff members have clear understanding of the escalation path/principles
  • Establish and nurture a culture of ‘Risk Excellence’ within the team, encourage an environment of openness that welcomes effective challenge and supports open discussion.

Person Specification

Specific Qualifications/ Skills:

  • Confident in dealing with all situations; Excellent Communication; Organizational and Report Writing skills; Proficient in the use of MS Office tools including Word  and Excel.
  • Fluency in oral and written English is required
  • Proven experience of team management in a financial services environment

Level of education

  • Bachelor Degree or equivalent. Professional accounting qualification and/or Master’s degree a plus

Previous level of experience

  • 10+ years of managerial experience (operations and financial services). Experience in managing large teams and operations servicing multiple clients a must
  • Broad and in-depth understanding of the asset management industry, gained through working with an asset manager or custodian, including detailed knowledge on all types of financial instruments
  • Broad and in-depth understanding of standards, methodologies, processes, systems and technology necessary to support investment management operations
  • Experience with writing and reviewing business specifications, procedures, operating models, etc.
  • Excellent analytical skills and ability to analyze quickly
